No two days look the same - from the glamour of our Gala Dinner and the laid-back charm of Jazz on the Lawn, to the buzz of sports day canteens and the pride of College ceremonies. And we need someone exceptional to help make it all happen!

We're looking for an energetic, organised and community-minded Events Assistant to join our dynamic Community Engagement team, starting ASAP!

About the Role

This is a full-time permanent role at the heart of College life - where no two days look the same and your work is felt by thousands of students, families and staff. Reporting to the Events Manager, you'll be hands-on across the full lifecycle of events: from the planning stages and supplier wrangling, right through to the final pack-down when everything went exactly to plan (because of you).

The Key Responsibilities of the Events Assistant will include:

  • Planning, coordinating and delivering quality internal and external events, managing timelines, budgets and logistics across multiple concurrent projects.
  • Supporting event production including collateral design, speaker coordination, AV and security requirements, catering and supplier management.
  • Managing food procurement and inventory for community canteens, including stock ordering, receipt and storage of perishable and dry goods.
  • Overseeing canteen set-up, operation and pack-down, ensuring food preparation meets OH&S standards – this includes working some Saturdays throughout Terms 1-3, at TAS home games.
  • Coordinating volunteer numbers and managing volunteers on event days, building strong relationships with Parents of JPC and the broader College community.
  • Maintaining event databases and systems, responding to enquiries and providing accurate information to diverse stakeholders.

About You

You bring the energy that makes an event hum - calm under pressure, quick on your feet, and genuinely in your element when things get busy! You take genuine pride in delivering seamless experiences, and you know that the best events are the ones that feel effortless to the people attending them - even if behind the scenes it was anything but!

You'll bring:

  • Solid experience in event planning, coordination and delivery - whether in hospitality, event operations or community engagement.
  • Proven know-how in food procurement, inventory management and catering operations.
  • A track record of working with volunteers and community groups.
  • Sharp organisational skills and the ability to juggle multiple priorities.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite.
  • Flexibility to work some early mornings, evenings and Saturdays during term - because the best events don't always happen between 9 and 5!
  • A current Blue Card / Working with Children Check (or willingness to obtain one).

Qualifications in Events or Project Management are highly regarded.
