Job Description

About the Opportunity

At John Paul College, events are more than dates in a diary, they are the moments that connect, celebrate and inspire our community. One day you could be helping deliver the elegance of our Gala Dinner, the next supporting the relaxed atmosphere of Jazz on the Lawns, coordinating the excitement of a Sports Day canteen, or bringing a milestone College ceremony to life. Every event tells a story, and every day brings something new.

We're looking for an enthusiastic, highly organised and people-focused Events Co-ordinator to join our vibrant Community Engagement Team. If you thrive in a fast-paced environment, love bringing ideas to life, and enjoy creating memorable experiences for others, this is your opportunity to make a real impact within one of Queensland's leading schools.

Join a team that celebrates connection, creativity and community, and help create the moments that matter.

About the Role

This is a full-time permanent opportunity at the heart of College life, where every day brings something different, and your work helps create memorable experiences for thousands of students, families, alumni, staff and community members.

Reporting to the Events Manager, you’ll play a key role in the coordination and delivery of a diverse range of events, contributing from initial planning and logistics through to flawless delivery and pack-down. You’ll liaise with stakeholders, manage event requirements, and assist with on-the-day operations to ensure everything runs smoothly.

If you're someone who thrives in a fast-paced environment, enjoys juggling multiple priorities, and loves seeing a well-executed event come together, you'll feel right at home in our Community Engagement team.

The Key Responsibilities of the Events Co-ordinator will include:

  • Coordinate and deliver a diverse range of internal and external events, managing timelines, budgets, logistics and stakeholder expectations across multiple projects.
  • Support all aspects of event production, including invitations and event collateral, speaker liaison, venue preparation, audio-visual requirements, security, catering and supplier coordination.
  • Manage food procurement and inventory for community canteens, including ordering, receiving and storing both perishable and non-perishable goods.
  • Oversee event canteen operations during sporting and community events, ensuring safe food handling practices and compliance with workplace health and safety requirements. This includes supporting TAS home games on selected Saturdays throughout Terms 1–3.
  • Coordinate and support volunteers, building strong relationships with Parents of JPC and the broader College community.
  • Maintain event databases, registration systems and event documentation, while providing exceptional customer service and responding to stakeholder enquiries.
  • Contribute ideas and solutions that enhance event experiences and strengthen community engagement across the College.

About You

You're a proactive and highly organised professional who enjoys being at the centre of the action. You remain calm under pressure, have an eye for detail and take pride in creating experiences that leave a lasting impression.

You enjoy working with a wide variety of people, are happy to roll up your sleeves when needed, and understand that successful events are built on equal parts planning, teamwork and adaptability.

You'll bring:

  • Experience coordinating and delivering events within hospitality, education, community engagement, fundraising, sporting or corporate environments.
  • Knowledge of food procurement, inventory management and catering operations.
  • Experience working with volunteers, community groups or stakeholder networks.
  • Outstanding organisational skills with the ability to manage competing priorities and deadlines.
  • Strong written and verbal communication skills, with a customer-focused approach.
  • Confidence using Microsoft Office Suite and event management systems.
  • Flexibility to work occasional early mornings, evenings and Saturdays during term time.
  • A current Blue Card (Working with Children Check), or the ability to obtain one prior to commencement.

A qualification in Events Management is preferred, however Hospitality or Project Management qualifications will also be considered.
