About the Opportunity
This is an exciting opportunity for a high-level Executive Assistant to join the John Paul College community. The Executive Assistant to the Chief Financial and Operations Officer provides high-level executive and administrative support to the Chief Financial and Operations Officer on a day-to-day basis.
This is a full-time contract position, commencing July 2026, until July 2027.
About the Role
From diary and correspondence management, to acting as the first point of contact, this role will be responsible for supporting the strategic direction of the College and assisting the Chief Financial and Operations Officer in achieving KPIs and desired outcomes for the College.
The successful applicant for this position will be required to undertake several concurrent tasks, demonstrating excellent organisational, prioritisation and time management skills while contributing to a positive, professional, and collaborative work environment.
This role will also be responsible for:
- General meeting administration including preparation of agenda, papers, and minutes.
- Management of engagements, events, meetings, functions, and associated briefings for the Chief Financial and Operations Officer.
- Attending to the resolution of matters expeditiously, proactively, and following-through on projects to successful completion, often with deadline pressures.
- Researching, prioritising, and actioning a range of sensitive and confidential matters in association with and in collaboration with the Chief Financial and Operations Officer.
- Collation, formatting and publication of Board and Committee papers on the Diligent Boards platform.
- General administration to supporting effective Board operations including meeting invitation, venue bookings and other arrangements.
- Maintaining relevant databases and maintenance of electronic and physical records including archiving.
- Act as a host to visitors to the Chief Financial and Operations Officer.
- Coordination of travel arrangements.
- Act as a key liaison between the Chief Financial and Operations Officer and the Board, staff, parents, and wider College community, fostering positive and productive working relationships.

About You
You demonstrate exceptional attention to detail and sound judgement across a variety of situations, supported by outstanding written and verbal communication, administrative, and organisational skills.
You are confident in independently identifying and resolving conflicts, making informed recommendations that ensure the smooth and efficient operation of the Chief Financial and Operations Officer's office.
Your capacity to engage collaboratively with internal stakeholders reflects a well-developed cultural awareness, enabling you to establish and maintain meaningful professional relationships at all levels of the organisation.
Candidates for this role will need to be able to share their relevant and recent experience in:
- Delivering excellent communication, problem solving and organisational skills with the proven ability to undertake several concurrent tasks.
- Advanced to master level of proficiency in the Microsoft Office suite (Outlook, Word, Excel, PowerPoint and Teams) and Adobe Acrobat.
- Various technologies for communication, database management, report writing, spreadsheeting, graphics, word processing, desktop publishing, scheduling, presentation creation/editing and project management
- Planning and co-ordination of projects and tasks, while maintaining compliance with organisational and external policies, processes, and standards.
- The ability to work independently, being proactive in the execution of duties, while also working as part of a team, towards specific outcomes and goals.
- A high level of independent judgment and initiative.
- Proven experience in proactive diary management and the coordination of meeting arrangements, ensuring optimal use of time and seamless scheduling outcomes.
As this role will operate in an environment where children are present, the successful candidates will be required to hold and maintain a positive notice Blue Card (Working with Children check) prior to the commencement and for the duration of employment.
